This explains what happens to your details when you join the Essentia list. It is short on purpose. If anything here is unclear, email info@essentiaagency.co.uk and ask.
Who holds your details
Alexandru Demeter, trading as Essentia, a sole trader based at 153 Heeley Road, Birmingham, B29 6EJ. Contact: info@essentiaagency.co.uk.
In data protection terms Essentia is the controller of your information, which means we decide what is held and why, and we are responsible for it.
What we collect
When you sign up through the form:
- Your name and email address
- Your mobile number, if you give one
- The city you are based in
- Your date of birth, if you give one
- Your confirmation that you are 21 or over
- Your consent to be messaged, with the date it was given
- Which link brought you to the form, so we know which post or event you came through
We may also add details you have given us in person, by Instagram message or over WhatsApp, such as your Instagram handle.
We ask for date of birth for two reasons: so we can send you something on your birthday, and so we understand the age range of the people who come to our nights. Nothing else. You can leave it blank and still join the list.
Why we are allowed to hold it
Your consent. You ticked a box that was empty until you ticked it, and the wording told you what you were agreeing to. That is the only basis we rely on for marketing.
You can withdraw consent whenever you want. Withdrawing it does not affect anything we did while it was in place.
What we do with it
- Message you about upcoming nights, guestlist places and tables, by WhatsApp or text if you left a number, and by email
- Send you something on your birthday
- Understand who our audience is, where they are based and roughly what age they are, so we book the right music in the right rooms
- See which posts and events actually bring people in
We do not make any decision about you automatically, and there is no profiling that produces a legal or similarly significant effect.
Who else sees it
We never sell your details, and we never share them for anyone else's marketing. No venue, promoter or partner gets a copy of the list.
We do use a small number of services to run the list. They process your details on our instructions only, and cannot use them for their own purposes:
- Netlify — hosts the sign-up page and passes your submission through
- Notion — where the list is stored
- WhatsApp, and email and messaging providers — used to send you the messages you asked for
Some of these are based outside the UK, including in the United States. Where your details go abroad, we rely on the transfer protections built into those providers' data processing terms.
How long we keep it
While you want to be on the list. If you have not opened, replied to or acted on anything from us for three years, we delete you. If you ask us to remove you before that, we do it straight away.
We keep a minimal record of the fact you opted out, so we do not accidentally add you again.
Your rights
You can ask us to:
- Tell you what we hold about you, and give you a copy
- Correct anything that is wrong
- Delete everything we hold about you
- Stop messaging you, on some channels or all of them
- Hand your details over in a portable format
- Restrict or object to what we are doing with it
Email info@essentiaagency.co.uk and we will deal with it within one month. There is no charge.
The fastest way off the list is to reply STOP to any message, or use the unsubscribe link in any email.
Cookies
The sign-up page sets no cookies, runs no analytics and no tracking, and loads nothing from any third party. Your details are sent when you press the button, and not before.
If you are unhappy
Tell us first and we will try to sort it. If you are still not satisfied you can complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk or on 0303 123 1113.
Changes
If this notice changes in a way that matters, we will update the date at the top and tell you in a message before the change applies.
